Process documents and contracts

The contract sits as a PDF in an attachment, and nobody reads it against the quote. We pull the fields and put the deviation next to it.

What people search for: extract contracts, process documents, AI contract review

The situation

  • Delivery notes, minutes, tenders: every format different, every check by hand.

  • The deadline sits on page 14, and only the person who searches notices it.

  • Deviations from the quote show up once the work is already running.

What we build

  1. / 01

    Sort the incoming pile

Contract, delivery note, minutes, tender. Each document gets a type and lands on the case it belongs to, instead of a folder called Inbox.

  2. / 02

Pull the fields you actually need

Party, date, amount, deadline, scope of work. What counts in your process becomes a field, not running text someone has to read again.

  3. / 03

    Lay it against the case

Contract against quote, delivery note against order. The deviation sits next to it, with the place in the document. Deciding whether it is acceptable stays with you.

What we do not automate

The most honest part of any project. On the left, what a system can take over. On the right, what stays with a person.

ContentExtract fields and show the source passageInterpret the contract or give legal advice
DeviationLay it next to the quote or the orderRenegotiate or concede on its own

What came out of it

The file together in minutes, not across the afternoon

Estate agent, 8 staff, Rhineland.

Papers into one file per property. Read contract and annex, mark missing pages before anyone drives to the notary.

Common questions

Is this legal advice?
No. The system reads what the document says and lays it next to your case. Whether a clause is admissible, whether you sign, whether you renegotiate: that stays with you or your law firm. We do not build legal opinions.
Does this work with scanned contracts?
Yes, as long as the text is readable. Skewed photos and stamps over the clause lower the hit rate, so illegible pages go into a review queue instead of a silent accept. Clean PDFs from your own systems are a better start than the paper pile from 2004.
How is this different from knowledge management?
Knowledge management answers a question against the existing body of material. This is about intake: a document arrives, fields are pulled, the case becomes complete. Both often share the same store, but they are two searches by two different people.
Do the contracts stay in-house?
If you want that, yes. Contracts are among the most sensitive files in the company. We build either on your servers or in an EU environment with a data processing agreement. What sits where is settled before the build.
