## Automate your quoting

A quote takes days because the costing sits with one person. We build the draft out of your own past line items.

Costing runs on a spreadsheet that grew over twenty years. Half formula, half experience. The whole thing depends on one person. When they are on holiday, sales stops. At the end of the quarter two quotes are missing and nobody noticed. Write the costing down First, what lived in someone's head becomes a system: line-item logic, surcharges, special cases, the unwritten rules. The source is your own past quotes and conversations with the people who know. A draft from your own line items From the enquiry plus your line-item library comes a draft in your structure and your tone. Not generated, assembled from items you have costed before. Sign-off stays with you The draft goes to the person who does the costing today. They check, correct, release. What they correct flows back into the library, so the system gets more accurate with every quote. Items and quantities Pull from the enquiry, match against past items Invent quantities the enquiry does not state Price A costing proposal with the maths laid open The pricing decision itself. That stays yours Text and structure A draft in your house tone, from the actual case Commitments on dates or warranty Follow-up Flag a quote that has gone unanswered Offer a discount to close the deal Does this work with our grown spreadsheet? Yes, and usually that spreadsheet is the starting point. It holds your pricing logic, just mixed up as formula and gut feel. We separate the two: what is a rule becomes a rule, what is a decision stays a decision. The spreadsheet survives as long as you want it to. Does our costing leave the building? Only if you decide it should. Costing data is the most sensitive record in the company. We build either on your own servers or in an EU environment with a data processing agreement. What sits where is settled before the build, not after. How long until the first quote goes out this way? Writing the costing down is the long part, two to three weeks for one area. The drafting itself runs in days. Realistically the first real quote goes out after four to six weeks, and for the first weeks somebody checks every line. What if the costing is wrong? Then it shows up during the check, because the maths is visible. Every item shows where it came from and from which past quote. A draft whose derivation you cannot see is not relief, it is a second risk. Draft in minutes, not in the evening Trades, 17 staff, Westphalia. Enquiry against their own catalogue of works. The master checks and approves, instead of typing everything himself.
